Details

Description

The Enhanced On-the-Job Training (OJT) experience modernizes and streamlines observation-based training workflows for admins, observers, and learners. It consolidates OJT creation, checklist management, learner visibility, and observation tracking into a more connected and scalable experience within Content Manager.

With this release, organizations can create, standardize, track, and review OJT workflows directly from Content Manager. The experience includes default templates, embedded reference resources, redesigned Observation History, improved Pending Review search and filtering, and learner-facing checklist visibility with electronic signature acknowledgement.

Business Need

Organizations conducting large-scale observation-based training across multiple locations have struggled with fragmented workflows, inconsistent checklist setup, and inefficient observation methods. Admins needed faster and more standardized material creation, observers needed easier ways to manage active learners, and learners wanted visibility into completed observations and feedback.

By centralizing OJT workflows within Content Manager and improving transparency across the entire observation lifecycle, these enhancements reduce operational friction, improve compliance readiness, and create a cleaner, more efficient OJT administration experience for every stakeholder.

Key Features

  • Admins can create and manage OJT materials directly within Content Manager, enabling OJT functionality during material setup alongside existing material details.
  • Organizations can configure default OJT templates from a dedicated section under Material Templates, standardizing setup across the organization and reducing repetitive configuration effort.
  • Admins can add checklists to existing materials that previously had no checklist through the Edit Material workflow, without creating a new material version.
  • Admins can enable learner checklist visibility on materials, allowing learners to review completed checklists and observer comments and acknowledge observations using e-signature.
  • Observers can search learners by full name and filter by location directly from the Pending Review tab, significantly improving navigation for large learner populations.
  • Inactive learners are automatically hidden from Pending Review, keeping observer queues cleaner and preventing observations from being submitted for inactive users.
  • The redesigned Observation History page provides a cleaner, more structured interface for tracking completed observations, observer comments, and outcomes.

Deployment & Considerations

These enhancements are available with the July 26 release across UAT and production timelines. Most capabilities are default-on for customers already using OJT and Content Manager, with no new permissions required.

The new Observation History page must be enabled through Feature Activation Preferences. Learner checklist visibility works only when both checklist visibility is enabled on the material and the new Observation History page is activated. Only one hyperlink can be configured per material under the OJT Resources section. Admins should review existing OJT materials to determine where default templates and checklist visibility settings should be applied.
