Job Management Foundation: Jobs, Custom OUs & Detection

This July release enhances the Job Management Foundation, giving admins more flexible tools to manage jobs and their structure. It introduces custom OU types tied to jobs, custom field management, AI-based next job detection, and expanded Edge Import data loads. These changes improve job currency, consistency, and integration with other talent management processes.

What's New

  • Manage custom OU types and custom fields for jobs, functions, and job levels.
  • Tie new custom OU types to jobs rather than users when creating them.
  • Enable AI-based next job detection to define career path transitions.
  • Search, filter, sort, group, and export jobs to CSV in the Jobs Workspace.
  • Generate job descriptions using GenAI with assigned job details included.
  • Use expanded Edge Import loads for bulk custom job OUs, metadata, and assignments.

Details

Description

Job Management offers the ability to manage a unified job architecture through a dedicated standard entity for jobs, also referred to as job profiles, distinct from positions. It enables the organization and administration of jobs with a flexible structure, including job descriptions, classifications, and leveling, and serves as the master source for job profiles fully integrated with Talent Marketplace and aligned with associated capability models.

This release introduces several enhancements to the foundation: the ability to manage custom fields and custom OU types, AI-based detection services for next jobs, and expanded Edge Import data loads. Administration is accessed through the Job Management menu item in the admin navigation, which includes the Jobs and Job Structure workspaces. Jobs can be assigned to users, while functions, job levels, and new custom OUs are assigned to jobs rather than directly to users.

Business Need

Organizations need a consistent, flexible way to manage their job architecture independently of positions, with the ability to extend the structure to their own organizational dimensions. The previous setup limited admins to standard OU types and offered limited tooling for bulk maintenance, custom data, and career path definition, making it harder to keep jobs current and aligned across talent management processes.

These enhancements address those gaps by letting customers decide whether a new custom OU type belongs to the user or the job, by centralizing custom field management, and by automating next job detection. The result is improved consistency, easier administration, and tighter integration with processes like Talent Marketplace.

Key Features

  • Administrators can manage custom OU types and custom fields for jobs, functions, and job levels through the custom field editor and advanced data sections.
  • When creating a new custom OU type, administrators can tie it to the job instead of the user, without impacting existing custom OU types or user associations.
  • The next job detection feature, when enabled, automatically provides AI-detected and transition-detected next jobs that admins can review and decline to define career paths.
  • In the Jobs Workspace, administrators can search, filter, sort, group, select displayed columns, include inactive jobs, and export the displayed list to a CSV file.
  • Administrators can generate job descriptions using GenAI, optionally including the details of the assigned job.
  • Edge Import data loads have been expanded to support bulk maintenance of custom job OUs, their metadata including status and parent relationships, job-to-custom OU assignments, and bulk custom fields.

Deployment & Considerations

Job Management is not activated by default and can be self-activated on the Feature Activation Preferences page. The Job Management Edge Import loads are recommended for self-service enablement via the Edge Marketplace, and the Job Description Builder and next job detection features are activated on the AI Activation Preferences page. New permissions are available in a separate Job Management permission category, though no permission constraints are available yet.

This release is at early adopter stage. Several limitations apply: there are no reporting, security constraint, or workflow capabilities yet; there is no standard data migration path for existing job architecture or Edge Imports; all features are available only to administrators; and Job Management is not yet integrated with areas such as recruiting, onboarding, training, performance, or compensation. It does not support the Employee API, job hierarchies (parent jobs), or users with multiple assigned OUs. Existing job-based features for position management customers are not yet supported.
