Content Manager: Events and Sessions Support

Content Manager now lets administrators view, create, and edit Events and manage their associated Sessions directly within the module. New tabs, resource management, provider controls, and audit traceability streamline end-to-end event administration. This functionality is in Open Beta, available in Stage environments only.

Description

This release enhances the Content Manager with the ability to view, create, and edit Events, along with managing their associated Sessions. Several key Event attributes and actions have been added to centralize and simplify event administration within a single interface.

Administrators with the appropriate permissions can now manage the full event lifecycle from Content Manager, including a centralized data grid of event and session attributes, an improved Refine Search flyout for filtering, dedicated configuration tabs, resource attachments, and permission-controlled actions directly from the landing page. Note that session creation and editing, along with additional event attributes, will be delivered in upcoming releases.

Business Need

Managing instructor-led training events and sessions previously required administrators to navigate across multiple tools such as Course Catalog and Manage Events and Sessions, fragmenting visibility and increasing administrative overhead. Changes were harder to trace, and routine actions were spread across disconnected interfaces.

By consolidating event and session management into Content Manager, this release reduces context switching, improves traceability through comprehensive audit reporting that reflects the source of each change, and gives administrators centralized control over event configuration, provider associations, and resources. The result is greater operational efficiency and clearer governance over instructor-led training.

  • Administrators with the appropriate permissions can create, view, and edit Events, quickly locating specific events using robust search and filtering capabilities.
  • Administrators gain comprehensive visibility into event Sessions, with options to search, filter, and perform key actions such as canceling a session or viewing its detailed information.
  • Administrators can perform Assign, Deactivate, and Generate Audit PDF actions directly from the Edit Events page, with the actions menu hidden when no actions are available to reduce clutter.
  • A new Resources section in the Training Preparation tab allows administrators to attach and manage file-based and material resources, configuring visibility for Admin, Registered Users, or All Users and restricting unsupported file types.
  • Dedicated tabs for Custom fields, Availability, Approval workflow, Emails, Advanced settings, Analytics, and History streamline event configuration, notification management, and change tracking.
  • Administrators can assign a unique, localized Event Number (up to 100 characters) and set proficiency levels for non-subscription training items, with validation applied.
  • The Provider field is a mandatory, viewability-filtered dropdown for ILT events, supporting separate Primary and Secondary Providers, preventing duplicate vendor selection, and recording all changes in an audit log and PDF.

Deployment & Considerations

This functionality is currently in an Open Beta phase and is available in Stage environments only, not in Production. It is controlled by a feature activation setting that is disabled by default. To enable it, navigate to Admin > Tools > Learning > Learning Preferences > Feature Activation Preferences and click Activate in the Activate Content Manager Event Creation and Edit Workflow section.

The feature is available to customers using Cornerstone only, Cornerstone + LX, and Single Architecture. Required permissions include Content Manager - View, Course Catalog - View/Update, Events - Create/Edit, Sessions - View/Cancel, Roster - View, and LO Attachments - Manage/View, many of which can be constrained by OU and provider. As a key limitation, managing events and sessions from Content Manager is still a work in progress: session creation and editing and several event attributes will be included in future releases.
