Mobile On-the-Job Training for Observers and Learners
This release brings the full on-the-job training (OJT) workflow to the mobile app, letting observers conduct checklist-based evaluations, sign off with e-signatures, and review attempt history directly at the point of work. Observers can evaluate multiple learners in a single batch session, while learners gain self-service visibility into their observation status and can notify observers with a single tap. The experience replaces desktop-dependent workflows and strengthens compliance readiness for field-based, hands-on training.
What's New
- Dedicated observer workflow accessible from the mobile app's More menu, visible only to assigned observers
- Checklist-based evaluation with progress indicators, item-level observe/comment/not-applicable marking, attachments, pass/fail outcomes, and draft saving
- Organized pending and completed tabs with smart actions (start, continue, re-evaluate, queued) plus search, sort, and date-range filtering
- Batch review mode to evaluate multiple learners sharing the same training in a single session
- Built-in e-signature support using traditional credentials or existing SSO workflows
- Learner self-service in MyLearning with observation status visibility, one-tap Notify Observer, score and feedback review, and certificate download
- Push and in-app notifications that route observers directly into the correct OJT evaluation
Details
Description
This release introduces a complete on-the-job training (OJT) experience within the mobile app, enabling observers to conduct hands-on competency evaluations directly at the point of work rather than waiting until they return to a desktop. Observers can review checklist-based evaluations, capture observations and comments, add attachments, mark items as not applicable, record pass/fail outcomes, and complete e-signatures on the spot. The experience is split into two role-based flows: an observer flow for conducting and managing evaluations, and a learner flow embedded in MyLearning for tracking observation status.
Observers access OJT from the More menu, where the entry point appears only for users assigned as observers. They work through organized pending and completed tabs with smart actions such as start, continue, re-evaluate, and queued, and can search, sort, and filter by training, employee, or date range. For high-volume scenarios, batch review mode lets an observer evaluate multiple learners who share the same training in a single session. Learners, meanwhile, can see whether an observation is pending, in progress, completed, or failed, notify an observer with a single tap, review scores and feedback, and download certificates when applicable.
Business Need
On-the-job training is critical for verifying hands-on competencies in regulated, field-heavy industries such as manufacturing, healthcare, and pharma. Until now, observers had to remember observations throughout the day and return to a desktop to complete evaluations manually, creating delays, reducing operational flexibility, and weakening real-time compliance readiness. Learners also depended on emails and manual follow-ups to prompt observers, adding friction and reducing transparency.
By moving the full OJT workflow onto mobile, this release lets evaluations happen while the observer stands next to the learner on the floor. It removes desktop dependency, improves responsiveness for high-volume training cohorts through batch review, and makes the process transparent for learners with self-service status visibility and one-tap observer notifications. For organizations under regulatory oversight, the on-device e-signature support directly strengthens audit and compliance readiness.
Key Features
- Observers access a dedicated OJT workflow from the mobile More menu, with the entry point visible only to users assigned as observers to keep the learner experience focused.
- The checklist-based evaluation includes progress indicators, item-level observe, comment, and not-applicable marking, attachment support, overall pass/fail outcomes, and draft saving so progress is never lost.
- Observers manage work through organized pending and completed tabs with smart actions (start, continue, re-evaluate, queued) plus search, sorting, and date-range filtering to quickly locate the right learner or training.
- Batch review mode lets observers select and evaluate multiple learners together when they share the same training tag, with mismatched or in-progress learners automatically disabled from selection.
- E-signature support is built directly into the app, allowing observers to authenticate with traditional credentials or an existing SSO workflow depending on the organization's setup.
- Learners gain self-service visibility in MyLearning, seeing observation status, tapping Notify Observer in a single action, reviewing scores and feedback, and downloading certificates when applicable.
- Push and in-app notifications alert observers with learner and training details and route them directly into the correct OJT evaluation when a learner sends a notification.
Deployment & Considerations
This experience is generally available with the July 2026 production release. It is automatically enabled for customers already using OJT modules, with no additional purchase or GCS request required. Observers automatically see the OJT entry point, and learners see notify-observer actions when applicable. Existing observer rules and the portal's e-signature preference continue to apply, and push notifications require the end user to grant standard device-level notification permissions.
Several limitations apply to this first release. Offline support is limited to OJT workflows, including observation history. Biometric authentication such as Face ID or fingerprint is not included in the current scope but may be explored in the future. Large attachments may take longer to upload over cellular connections, and batch review works best with stable connectivity, though draft saving reduces risk on low-bandwidth networks. These scope decisions are intended to keep the first release stable and reliable for operational use.
